ASCCC presents the 2023 Spring Plenary Session, April 18-20, 2024. This is a hybrid event taking place at the San Jose Marriott, 301 South Market Street, San Jose, California, USA, 95113. We hope that all local faculty leaders will plan to join us in San Jose!

In Person Registration will end April 5th, 2024 at 5:00pm.
Virtual Registration will end April 10th, 2024 at 5:00pm.

Spring Plenary is expected to run until 2:30 p.m. on Saturday, April 20th. Please consider this when making your travel plans. We want to ensure all voices are heard regarding these important resolutions and elections!

 

Registration Fees  

Registration In-Person: $575
In-Person registration includes access to the virtual platform, access to all conference materials, and continental breakfast and lunch each day. Dinners are on your own.

Virtual Only Registration : $425

One Day Only In-Person Registration (Saturday): $150

One Day Only Virtual Registration (Saturday): $75

Presenters will receive the promo code information after the presenters list has been approved. Please email events [at] asccc.org for the promo code information if you did not receive the information by April 1st.

** All Presenters are required to register. **

In Person and Virtual attendees will need to email events [at] asccc.org for space availability after the registration deadline. We will be taking credit card payments only for this event. For questions about accessibility or if you need to make alternative arrangements, please email events [at] asccc.org. Three weeks advance notice of need for accommodations is requested.
 

COVID Precautions

The ASCCC is no longer requiring proof of vaccination status or a negative test result to attend an in-person ASCCC meeting or event. Mask-wearing at ASCCC meetings and events is encouraged but will be optional. COVID policies may be updated based on local health ordinances. If you test positive leading up to the event, please review the CDC Isolation and Precautions guideline to determine what you need to do. 

 

FAQs

Is my registration/ticket transferrable?
We no longer take direct ticket transfers. You will need to submit a new registration for each person attending.

What is the cancellation/refund policy?
• Payment is required prior to entering an Academic Senate event.
• Please remember that the last day (April 5th, 2024) to cancel your registration without penalty is always posted on each event's webpage, and is listed in each confirmation email. Cancellations must be submitted in writing to events [at] asccc.org on or before the posted date. Registration will not be canceled due to non-payment. All cancellations made after the posted cancellation date will be assessed a $175 cancellation fee.
• Full Refunds will not be granted for cancellations after the posted cancellation deadline.
• Cancellations made less than 7 business working days prior (April 8th, 2024) to the event will be billed the full registration amount for the conference.
• No shows, unclaimed "TBA" attendees, and cancellations made after the deadline will be billed to you and/or your college for the total cost of registration and room if applicable to the event. As attendees are permitted to register without funds, we have no way of determining cancellation unless specifically told, in writing.
• It is your responsibility to ensure payment of the registration fee. Submission of your registration signifies agreement with this policy.
• Unpaid balances owed to the Academic Senate must be paid off before an attendee can register for a future event.

The name on the registration/ticket doesn't match the attendee. Is that okay?
No, All attendee registrations must match the ticket. We no longer take direct transfers. Every attendee must submit their own registration and payment.

Hotel & Travel

Hotel Information - San Jose Marriott Hotel Reservations

2024 Spring Plenary Session will be taking place at San Jose Marriott Hotel, 301 S Market St, San Jose, CA 95113.

Event registration is required before you can reserve a hotel room. Your email confirmation for registration will direct you to the hotel reservation website once you have completed event registration. Please note that you must make hotel reservations separate from the event registration process. Registration confirmation for the event does not guarantee a hotel room reservation. We recommend that you make your reservation as early as possible, as space is limited and fills up quickly!

You must make reservations through the ASCCC group hotel block. The cut-off date for room reservations at the room rate of $239/night is March 28th, 2024.

Valet-parking is $45.00 for overnight guests as well as those driving in the day of the event. Other parking can be found at the San Jose Convention Center parking structure for $25/day. For those flying, San Jose International Airport is the closest airport to the hotel.

How to participate in Virtual Only:

The event will take place in the virtual event platform Zoom Events. All attendees will receive an email prior to the event with a unique user login. The platform works with email as your user id, so please make sure all attendees emails are their actual emails. If you are an admin and are registering a group of people, please make sure you are prepared with each persons unique email. Please check your device if it is compatible with Zoom Events and update your Zoom app.

Event links to the Virtual Event Platform will be emailed to all registered attendees approximately 1 week prior to the start of the event. All sessions will have auto closed captioning available.

TEST SESSION
There will be a self-guided test session for new users to explore the Zoom Events platform and ensure your device is updated for the event. The test session will run for 2 days on April 15th and April 16th from 1:00 pm - 2:30 pm. To participate in the test session, registered attendees and presenters can download and follow the Zoom Events Guideline document above. Users can join the session anytime during the session. This session is intended to allow users to familiarize themselves with the platform at their convenience and there will not be any presentation or moderator during the test session. 

Please make sure to submit individual emails for all attendees as that will be their access to the virtual event platform.

Delegates:
In order to conduct the online resolutions voting, we will need each member Senate to verify that we have the college’s correct delegate for voting. The Senate President listed in the Senate Directory for each campus, will need to complete the linked Delegate Form. Unless this form is submitted, the Senate President or Delegate reported to the Senate Office in the Senate Directory will not be eligible to voteForms must be emailed to the ASCCC Office - events [at] asccc.org by April 15, 2024.
